How it works

DocXone has all the features you could wish for and more, and it’s surprisingly easy to use. You’ll discover drag and drop convenience, as well as an intuitive user interface that thinks like you do.

DocXone is a collection of technologies assembled on a Microsoft SharePoint platform. It is a comprehensive document management system for chartered accountants that simplifies the creation, management, storage, retrieval and sharing of records and information assets.

Office 365

Everything is stored within your allocated Microsoft Office 365 storage, which means data is accessible from anywhere, anytime. DocXone can also automatically store all assets on your server or hard-drive, if it has sufficient space.

Accessing DocXone is as simple as accessing ‘my computer’ and ‘my documents’ folders on your laptop or PC. Your standard documents can be loaded as templates and stored separately.

Xero Practice Manager

DocXone online document management integrates smoothly with Xero Practice Manager through manual synchronization. This means you only need one database of clients.

Locating a file in DocXone is simplified with an advanced search function that allows you to find data not by where it is, but by what it is.

MS Outlook Integration

Integration with MS Outlook is provided with a plug-in. Email messages and their attachments can be saved in DocXone, making them accessible 24/7.

Inability to store emails easily is a major failing for many cloud storage systems. We’ve got it sorted.

Migration

Migrating files to DocXone is quick and easy. Simply set up your ideal file structure within DocXone, then drag and drop from your existing storage. We’ll show you how. The entire migration process takes less than 30 minutes.

Security & Backup

DocXone comes with Microsoft-level security, because it’s part of your Microsoft 365 environment. In Microsoft’s words that means: “a defence-in-depth approach to provide physical, logical, and data layers of security features and operational best practices”. It doesn’t get any better.

It’s also possible to back-up DocXone using your own server or PC hard drives (if you have capacity), but it’s not really necessary.

Getting started

It takes between 24 and 48 hours to establish your DocXone. We provide a remote training session, approximately one hour, to upskill one trainer (usually your DocXone admin person) in your workplace.

We know for a fact that competitor storage systems take up to two weeks for setup. Once you’ve made your decision to store in the cloud, delay can cause chaos within your practice.
